校史館諮詢委員設置要點 Guidelines for the Establishment of the YunTech Archives Advisory Committee

一、 國立雲林科技大學(以下簡稱本校)為妥善保存校史文物檔案,紀錄校務發展重大 事蹟,推展校史資料徵集與營運管理,增進校史活化推廣應用,以提供教學、研究、展示與導覽服務,特設置「國立雲林科技大學校史館諮詢委員會設置要點」(以下簡稱本要點)。

二、 本委員會任務如下:

(一)校史館業務相關規則辦法與運作機制之諮詢及審查。
(二)校史資料文物徵集作業與諮詢事項。
(三)建置數位校史館及校史文物資料庫之諮詢及審查。
(四)年度計畫、經費預算及實施成果之審查。
(五)其他有關校史館規劃與營運之諮詢事項。

三、 本委員會召集人由本校副校長擔任,委員九~十一人,任期兩年,得連任之。

(一)當然委員:副校長、主任秘書、總務長、圖書館館長、校友會理事長。
(二)遴聘委員:由校長遴聘具文物檔案管理暨展覽推廣專長之教職員或校外專家學者代表擔任之。
(三)本委員會行政業務由圖書館館務發展組兼辦,負責執行校史資料文物徵集、典藏、編纂、館務推展規劃及委員會會議之召開等相關業務。
(四)本委員會每學年至少召開一次會議,由召集人主持;另視實際需求採不定期召開會議。 開會時應有二分之一以上委員出席,決議事項,應經過出席委員二分之一以上同意,同數時由主席裁決。
(五)為推動校史館發展任務,必要時得設任務編組,邀集專業人員參與。

四、 建置校史館典藏空間、展示場區、數位校史館建置維護及委員會運作所需相關經費, 由校務基金專案編列支應。

五、 本要點經行政會議通過,陳請 校長核定後實施,修正時亦同。

 

October 21st, 2014 Approved in the administrative meeting in 103 academic year.

I. The Advisory Committee on the Historical Archives and Records of YunTech is intended to fulfill the following objectives: (1) to properly preserve and conserve the historical records and significant events in association with the development of National Yunlin University of Science and Technology (hereinafter referred to as YunTech); (2) to highlight the importance attached to the collection of YunTech Archives and operation management; (3) to better enable the extensive application of the Archives of YunTech; and (4) to provide teaching, research, exhibition, and guided tour services.

II. The tasks intended for this committee are as follows:

1. To provide a review of and consultation services for the regulations and rules related to the business of the YunTech archives and their operating mechanism.

2. To deal with how to collect and keep the historical data of YunTech and other cultural items or artifacts.

3. To build the digital university archives and provide consultation and review for the database of the university historical artifacts.

4. To provide a review of annual plans, budget allocation and the outcome of their implementation in annual activity reports.

5. Other consultation matters related to the planning and operation of the YunTech archives.

III. The vice president is appointed as the committee convener, and this committee primarily consists of nine to eleven members. Members serve two-year terms. They can serve on the Committee consecutively with the consent obtained.

1. Ex officio members consist of the Vice President, the Chief Secretary, the Dean of General Affairs, the Director of the Library, and the Director of Alumni Association.

2. Appointed members: The President of Yuntech appoints not only faculty members whose expertise is in artifact and archive management and exhibition promotion but also other non-faculty experts, such as specialists or scholars as the representatives.

3. The administrative affairs of this committee are run by Planning and Development Division, which is responsible for related business, such as the collection, preservation, compilation, promotion planning of historical data and artifacts, and the convening of committee meeting.

4. The committee meets once every academic year, and the convener should preside over the meeting. In addition, possible extraordinary meetings will be held, and this depends on practical purposes or needs. More than half of the members shall be present in the meeting, and the resolution shall be subject to the consent given by more than half of the attending members, along with the official permission given by the chairman at the same time.

5. In order to promote the development of YunTech archives, task groups or force should be assigned, and professionals should be considered and invited to help this if necessary

IV. The provision of spaces designated for the collections of YunTech archives, areas made available for exhibitions, routine maintenance of digital university archives, and the work plan and operation of the committee shall be financially supported by the university’s endowment fund.

V. These aforesaid regulations should be discussed and ratified in a meeting given by the University Administrative Council. Also, official permission should be obtained from the President of YunTech before they remain in effect/begin. The same administrative procedures should be extended to the amendments made in this regard.
